Information we collect

Website enquiries

When you use our contact form we collect your name, email address, phone number (if given), your role, the building’s postcode and size, and anything you tell us in your message.

Buildings we manage

When we manage a building we hold information about leaseholders, residents, directors and contractors, including contact details, flat details, service charge accounts, correspondence, repair reports and portal activity.

How and why we use it

  • To respond to enquiries and prepare proposals (legitimate interests, or steps before entering a contract)
  • To manage buildings under our management agreements (contract and legitimate interests)
  • To meet legal obligations such as accounting, tax, health and safety and leasehold law (legal obligation)
  • To run and secure the resident portal (legitimate interests)

We use automated tools to help sort correspondence and track tasks. Decisions that significantly affect you are always made or reviewed by a person.

Who we share it with

Only where necessary: contractors carrying out work, accountants, insurers and brokers, solicitors, our redress scheme, IT and hosting providers, and authorities where the law requires. We never sell personal information.

How long we keep it

Enquiry details are kept for up to two years if you don’t become a client. Building records are kept for as long as we manage the building and for six years afterwards to meet legal and accounting requirements.
